Technician guide

My schedule

After signing in, My schedule opens. Choose a date to view your assigned jobs. Each card shows the key client, address, time, and status information. Where possible, you also see the travel time from the previous stop and the expected arrival. A tight notice means the current schedule contains little or insufficient travel time.

If you cannot see any jobs, check with an Admin whether your user account is linked to the correct technician record.

Executing a job

Open the job and follow the buttons in order:

  1. Depart sets the status to en route. When email is configured correctly, the client may receive a one-time notification.
  2. Arrived records that you are on site.
  3. Start begins execution and records the actual start time.
  4. Complete opens the completion form.

Use the address to navigate or copy it when you use a different navigation app. Before starting, read the job description, required skills, internal execution information, and any client details.

Devices and manuals

Open Devices and manuals in the main navigation to look up a manual without opening a job. This catalog is available to every role and is read-only. Open a device model to view its shared manual.

On a job, you see the linked device and the recent visits for that installation. Fill in the device’s serial number and installation date there when needed.

If the device has been replaced, enter an end date. The device is then no longer offered for new work, but remains visible with its service history.

Photos and materials

During the work, you can upload photos and add a caption. When the task type requires photos, Manisma checks this on completion. Add used materials from the materials catalog and record the correct quantity. These lines later appear on the job and in the work order data.

Completing

For a normal completion you can record the client’s name, a client note, and a signature. A task type may indicate that a signature is required, but the current completion page only blocks technically when required photos are missing. Therefore, follow your organization’s working agreement and record the signature when it is asked for. After confirmation, the visit and end times are recorded and the job receives the status Completed.

Not completed

Choose Not completed when the planned work could not be finished. Select a reason, describe what happened, and mention any parts needed. Possible reasons include, among others, missing parts, a second technician, a specialist, absent client, lack of time, an unexpected problem, or a safety issue.

The job goes to the planner’s rescheduling queue. Write concretely enough so that the planner knows what is needed for the next appointment.

Completing with follow-up work

Use this option when the agreed work is finished, but you discover new work during the visit. The current visit is completed correctly and a separate follow-up work request is created. The planner creates a new job from it. Do not use this option when the original work itself remained incomplete.

Working offline

You can install Manisma as an app on your phone. On iPhone: open the app in Safari, tap Share, and choose Add to Home Screen. On Android: open the app in Chrome and choose Install app. The app then opens full-screen, just like a regular app.

To be able to work offline, you must have opened the app online at least once and signed in online at least once. After that, your day remains available without a connection.

What stays available offline. After you have worked online, you can continue to view your day overview, job details, addresses, and phone numbers without coverage. This data is at most 24 hours old. As long as you are offline, an orange bar Offline: data may be outdated appears. Attachments or photos that other users added after you went offline, you only see again when you have a connection; images themselves may also only load again when there is a connection.

Working without a connection. Status changes (Depart, Arrived, Start), Complete with signature and notes, Not completed, photos, and materials also work without a connection. Your change is saved on the device, the screen continues immediately, and a bar counts how many changes still need to be synchronized.

Synchronizing. As soon as the connection returns or you sign in again, your changes are sent automatically. You can also choose Sync now yourself. Changes that cannot be processed, for example because your permissions have changed, remain visible in the bar, where you can view and delete them.

En route notification. The one-time en route notification to the client is not sent for a Depart that only synchronizes later. This prevents a misleading, too-late notification.

Refreshing data. In the header of every screen there is a refresh button (circling arrows). On My schedule and on a job you can also pull down to refresh. The data also refreshes automatically when you return to the app.

App updates. A new version of the app installs itself after you fully close and reopen the app.

Good practice

  • Update the status at the moment the step actually happens.
  • Check quantities before you save material.
  • Photograph only what is relevant to the job.
  • Put client-facing information in the client note and technical handover in the technician information.
  • Report scheduling or account problems to the planner or Admin; do not try to open a colleague’s job.
  • Open the app online in the morning so your data is fresh before you drive to areas with poor coverage.
