Getting started with Manisma
Signing in
Open app.manisma.com and sign in with your email address and password. A new trial account first receives an email with a link to set a password. Also check the spam folder if that email is not visible right away.
After signing in, Manisma opens the appropriate start page for your role:
- Admin, Planner, and Office start in the office environment.
- Technician starts on My schedule.
Through Settings, every user can manage their name, phone number, language, and password. The sidebar can be collapsed on desktop; Manisma remembers that choice.
Installing Manisma on your phone
You can add Manisma as an app on your phone’s home screen. On iPhone: open the app in Safari, tap Share, and choose Add to Home Screen. On Android: open the app in Chrome and choose Install app. The app then opens full-screen, just like a regular app.

Recommended initial configuration
An Admin ideally sets up the organization in this order:
- Open Admin → Company details and fill in the company name, contact details, VAT number, logo, company address, and workshop address.
- Set the number prefixes for clients and jobs.
- Open Admin → Planning settings and set the work day, default duration, buffer, travel buffer, and planning horizon.
- Under Task types, Skills, and Materials, create the catalogs.
- Add technicians, link their skills, and set fixed work hours and start/end locations.
- Under Email settings, configure the SMTP details and send a test email.
- Create user accounts and give each user the minimum role they need.
Basic data
Clients
A client can be private or business and contains a client number, name, email, phone, VAT number, status, and notes. On the client detail page you manage contact persons and one or more service addresses. The same page shows linked jobs and a compact history of visits, materials, and open items.
Technicians
A technician record contains contact details, active status, skills, workdays, work hours, and route settings. An Admin can attach a login to it. The technician record and the user account are two different things: without a linked login the technician cannot sign in themselves.
Jobs
A job contains, among other things, client, service address, task type, title, description, priority, expected duration, required skills, required number of technicians, and scheduling. New jobs automatically receive a readable sequence number when no number is provided.
The normal lifecycle is:
unplanned → planned/assigned → en route → arrived → in progress → completed
Atypical end states include incomplete, rescheduling required, cancelled, and invoiced.
Working safely
- Do not share accounts; create a separate login for every employee.
- Only grant Admin rights to people who may manage users, keys, and billing.
- Store an API key or webhook secret immediately in a password manager. Secrets are not shown again after creation.
- Do not put client names or personal data in the free-text AI planning rules.
