Dashboard

The dashboard is the daily overview. The KPI cards link directly to unplanned jobs, today’s jobs, and work in progress. Attention points flags, among other things, overdue schedules, missing assignments, missing skills, open rescheduling, and availability exceptions. Today groups jobs per technician, including a group for unassigned work.

Clients and addresses

First create a client and then the service address. Complete address details are important for geocoding, travel times, and route optimization. For a business client you can add multiple contact persons and mark one person as the primary contact.

Use the client detail page to:

  • manage contact and address details;
  • find all of the client’s jobs;
  • view recent visits and used materials;
  • follow up on open attention points.

Creating a job

Open Jobs → New job. At a minimum, choose a title and, where possible, fill in the client, service address, task type, and duration. A task type can automatically fill in the default duration, photo/signature requirements, and required skills.

The jobs list supports searching by title, client, and job number. You can filter by status, priority, date, technician, task type, missing address, and missing skills. Open a job for details, visit history, materials, photos, signature, and notes. A Planner can cancel; only an Admin can permanently delete.

Manual scheduling

On desktop, Planning shows technicians as lanes in a timeline. Drag an unplanned job onto a technician and a time slot. On smaller screens, use the agenda and tap to assign.

Check warnings for:

  • overlap with another job;
  • scheduling outside work hours or during a break;
  • missing or incomplete address;
  • missing required skill;
  • insufficient time for the trip;
  • insufficient room for the return trip to the home or workshop location.

A job can require multiple technicians. The lead technician remains the responsible one; the full crew is tracked through the assignments.

Optimize order chooses a shorter route and adjusts times. Recompute times keeps the current order and makes room for the actual trips.

AI planning

AI proposal builds a proposal for unplanned jobs across multiple days. It takes into account existing scheduling, skills, availability, priority, travel time, work day, and return trip. The data for the model is anonymized. The proposal does not change anything until you select the desired rules and click Apply.

Unplaced jobs remain visible with a reason. Free AI planning rules are soft preferences; hard constraints such as availability remain leading.

Devices

When creating or editing a job, link the installation that the work concerns. An installation is the actual device at the client, with its own serial number, installation date, warranty, address, and notes. The jobs linked to the installation together form that device’s service history.

Add an installation from the client page or from a job. You can link a device model from the catalog and then complete the installation’s own details. The catalog contains the shared model details, including brand, model name, type, default warranty, and manual. Planners can add and edit installations, but cannot open the Admin-only Admin → Devices page used to manage the catalog.

Enter an end date when a device is removed or replaced. The device is then no longer offered for new jobs, but remains visible in the history. For a replacement, also link the old installation to the installation that replaces it, so both devices remain connected in the history.

Client approval

Open a job and choose Request approval. You can offer time slots manually or have AI suggestions generated. The client receives a secure link and can approve or decline an offered slot.

For an AI slot with technician, the job can be scheduled automatically after approval. An open request can expire; the configured approval margin determines how long a provisional slot is protected from rescheduling.

Rescheduling and follow-up work

Rescheduling contains jobs with status Incomplete or Rescheduling required. You can reschedule them, return them to unplanned, or cancel them. The linked request is handled in the process.

Under Follow-up work you find visits that are completed but for which new work is needed. From the request, create a new, pre-filled job. This keeps the original visit correctly completed and gives the extra work its own schedule and work order.

Work order

The work order is a print-friendly page with company letterhead, client, address, job, scheduling, technicians, execution, and materials. Use the browser’s print function to create a PDF. Internal notes and control buttons are not printed.
